Administrative Assistant / Receptionist

  • To start employment on or before 01 February 2018.

Your Duties and Responsibilities

As Administrative Assistant
  • Handle administrative matters for Embassy and its staff related to various permits, shipments, custom clearance, tax and duty free issues
  • Provide general administrative support for the Embassy in relation to (but not only) Event Management, translations from Bahasa Indonesia to English, answering general inquiries, distributing correspondence and publishing the Embassy’s newsletter As Receptionist
  • Make visitors feel welcome and create a good first impression with your smile and a kind word
  • Direct visitors to the right person or department in a timely and customer-friendly fashion As Switchboard Operator
  • Politely answer and forward phone calls, answer basic inquiries and take messages
Requirements

Our selection criteria: The successful candidate will demonstrate:
  • Excellent spoken and written proficiency in both English and Bahasa Indonesia
  • Proficiency in German and/or French would be a big advantage
  • Pleasant personality and impeccable personal appearance
  • Excellent communication and interpersonal skills, ability to connect and work well with others
  • Stress Management skills, able to deal with emergencies in a timely and effective manner
  • Exceed customer expectations with high service quality and achievement orientation
  • Excellent organizational and multitasking skills (ability to prioritize tasks, meet deadlines under pressure and manage competing responsibilities independently)
  • Candidate must be an energetic and motivated problem-solver
  • Very good IT skills (Microsoft Office packages)
